CBS Listserve Policy

The lists represented on this page are centrally managed by the CBS Dean’s Office. Each list is moderated by a specific role in the CBS Dean’s Office, or locally in each unit. To request the addition, removal, or reclassification of someone on any of these lists, please contact your department’s CAO to facilitate the request. Most users will be automatically added as AUSS-C processes payroll changes.

Centrally Managed Lists vs. User-Generated Lists

There are many user-generated lists across the college for classes, groups and other administrative purposes. You may have created one or more of these lists or be part of one or more. These are separate from the lists above, which are managed by the CBS Dean’s Office. There will be no change in the use or function of user-generated lists. 

Types of Lists

There are two types of listserve lists: mandatory and voluntary. 

  • Mandatory
    • One-way communication from leaders
    • Ex. a college or department list of all faculty/staff
    • CBS requests for distribution will be moderated
  • Voluntary
    • Two-way communication among members
    • Ex. a list for a lab group, class, or club
    • Posts can be moderated (pre-approved) or unmoderated

Distribution to each list is moderated by that list’s owner (dean, chair, CAO, coordinator, etc.). When considering distribution requests, note the following campus guidelines: 

  • Listserves must be used only for official university business.
  • Listserves cannot be used to espouse personal or political beliefs, activism or calls to action.
  • Only active faculty and staff members may be owners or administrators of email lists.
  • Listservs cannot promote events, fundraisers or other activities that are not sponsored by a university unit.
  • All UC Davis listserves are governed by the same policies, even if you create and manage one yourself.

Accessibility Compliance Requirements

While there are many ways in which we must ensure our digital communications are in compliance with DOJ regulations under Title II of the Americans with Disabilities Act (ADA), there are two primary policies that are especially relevant to email communications: 

  • Do Not Use PDFs, PNGs or JPGs to Communicate Important Information
    PDFs are often inaccessible to screen readers unless properly tagged and formatted. Most are not built this way. The same is true for PNGs and JPGs that include text within the image. If these must be used, please ensure the same information is also in the body of your email. (E.g., the PDF/JPG/PNG should not be the only place your information is found.)
  • Do Not Say “Click Here” or “Read More” 
    Whenever a link is included in your message, include a brief description of what page it opens. “More information about this project can be found here on our website,” is not informative. “More information about this project can be found on the project information and resources page of our website.”
